Dog grooming cancellation and no-show policy template

Copy one of the three versions below, replace the [brackets], and put it in your booking confirmation and intake form. A policy only works if clients see it before they book, and you apply it the same way every time.

This is a starting template, not legal advice. Rules on cancellation fees vary by location, so check yours before you charge one.

Version 1: short (for a booking confirmation text or email)

Thanks for booking [Dog's name] with [Business name]! Please give us at least [24] hours' notice if you need to cancel or reschedule. Late cancellations and no-shows may be charged [50% of the service price / a $[amount] fee]. Reply to this message or call [phone] to change your appointment.

Version 2: full policy (for your website or intake form)

CANCELLATION AND NO-SHOW POLICY We keep a limited number of appointments each day, so a missed slot is one we can't offer to another client. To keep the schedule fair for everyone: 1. Notice. Please cancel or reschedule at least [24] hours before your appointment. 2. Late cancellations. Cancellations with less than [24] hours' notice may be charged [50%] of the scheduled service price. 3. No-shows. If we arrive or wait [15] minutes and you are not available, the appointment is a no-show and may be charged [the full service price / a $[amount] fee]. 4. Late arrivals. If you arrive more than [15] minutes late, we may need to shorten the service, reschedule, or charge for the reserved time. 5. First occurrence. We're happy to waive the fee once for [returning clients / a first occurrence]. 6. Emergencies. If you have an emergency, please contact us as soon as you can. We'll do our best to work with you. 7. Payment. Any fee is due before your next booking. By booking an appointment, you agree to this policy.

Version 3: with a deposit

To reserve your appointment, we collect a deposit of [$amount / percent]. The deposit is applied to your final bill. If you cancel or reschedule with at least [24] hours' notice, your deposit is [refunded / moved to your new appointment]. If you cancel with less notice or don't show, the deposit is [kept].

Common questions
